When you book an appointment, subscribe to our newsletter, contact us via WhatsApp, or make a purchase, we may collect: your name, email address, phone number, appointment preferences, treatment history, skin analysis data, and delivery address (for K-Beauty Products orders).
Information Collected Automatically
When you visit our website, we may automatically collect: IP address, browser type and version, device information, pages visited, time and date of your visit, and referring website. This information is collected through cookies and similar tracking technologies.
Skin Analysis Data
If you undergo a K-Beauty Skin Analysis at our institute, we collect diagnostic data including skin type, hydration levels, elasticity measurements, pore analysis, and other skin metrics. This data is used exclusively to personalize your treatment and skincare recommendations.
K-Glow Pass Membership Data
If you subscribe to the K-Glow Pass, we collect and process additional data to provide personalized skincare services:
- Selfie photos — uploaded weekly for AI skin analysis. Photos are processed by our AI system to generate skin scores and are stored securely in our database. Photos are not shared with third parties.
- Skin scores and analysis history — hydration, texture, radiance, firmness, pores, and sensitivity scores generated by AI, along with skin type classification and skin age estimation.
- Points and rewards history — records of points earned and rewards claimed.
- Routine preferences — your personalized AM/PM skincare routines, budget preferences, and product selections.
- Push notification tokens — if you opt in to notifications, we store a device token to send Skin Coach alerts. You can revoke this at any time through your device settings.
- Subscription data — subscription status, billing dates, and payment references (processed by Midtrans; we do not store full payment card details).
AI Processing
Your selfie photos and skin profile data are processed using artificial intelligence services (Anthropic Claude API) to generate skin analysis scores, personalized routines, and coaching recommendations. Photos are sent to the AI service for analysis and are not retained by the AI service provider beyond the processing request. AI-generated results are stored in your account for tracking purposes.
2. How We Use Your Information
We use the information we collect to: process and manage your bookings via Fresha, provide personalized treatments and skincare recommendations, process product orders and deliveries via Gojek, send appointment reminders and follow-up care instructions, send marketing communications (only with your consent), improve our website and services, comply with legal obligations under Indonesian law.
3. Third-Party Services
We use the following third-party services that may process your data:

Gojek: For product delivery. Your delivery address and order details are shared with Gojek for fulfillment purposes only.

4. Data Retention
K-Glow membership data (skin diary photos, scores, routines, points) is retained for the duration of your membership and for 12 months following cancellation. After 12 months of inactivity, your data may be permanently deleted. You may request immediate deletion of your data at any time by contacting us.
We retain your personal information for as long as necessary to provide our services and fulfill the purposes described in this policy. Booking and treatment records are retained for a minimum of 3 years for medical safety purposes. You may request deletion of your data at any time by contacting us.

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
